How to Use Your Corporate Guidance, Alerts, & Announcements Settings

Corporate Guidance Settings

Corporate Guidance allows you to fine tune what your practices see or don't see as well as what actions they are allowed to take or not take whilst purchasing on Vetcove. To access your Corporate Guidance Settings, click on the little grey person icon on the top right, then Settings.

From there, click on Guidance Rules in the left hand column.

To create a new guidance rule, click on the drop down menu under Select an Alert Type.

From there, you'll be able to choose from a list of various rule types! Depending on which rule type you select, a variety of fields specific to that rule will appear on the right hand side for you to customize.

Alert Types

Preferred Items: Show your purchasers which vendors and items are preferred by your group. Preferred items will appear first in search results and be displayed with a preferred ribbon! Preferred distributor(s) will be starred in the vendor list. You can choose preferred items broadly by vendor, for specific categories only, or down to specific SKUs. If you would like to exclude certain manufacturers, contact a member of the Vetcove team at corporate-support@vetcove.com.

When a user hovers over the star, Vetcove will display the message "[Corporate Group Name] has denoted this item as a preferred item. Preferred items should be used even when comparable or similar items are available."

When a user hovers over the question mark, Vetcove will display the message "These are the preferred suppliers for your organization. Please choose this option when prices are within reason."

Not Preferred Items: Show your purchasers which vendors are not preferred by your group. These "not preferred" items will appear last in search results.

There is not a screenshot because this option does not affect the appearance of this item, only its place in search results.

Order Timing: Using a particular vendor’s billing cut-off date, you can gently suggest to purchasers to hold off on expensive or nonessential items during the days leading up to the cutoff date. This delays payments to the vendor and improves cash flow for the group.

Effective Supplier Pricing: This option enables you to show effective supplier pricing (after rebates) to your purchasers, rather than pricing shown by the vendor.

When a user hovers over the price cross out, Vetcove will display the message, "The regular price is X, with vendor rebates the effective price is Y."

Effective Manufacturer Pricing: This option enables you to show effective manufacturer pricing (after rebates) to your purchasers, rather than pricing shown by the vendor.

This will display a price cross out like above, but, in this case, this cross out will be shown for every supplier on item listings from the selected manufacturer.

Effective Item Pricing: This option enables you to show effective pricing (after rebates) to your purchasers, rather than pricing shown by the vendor, for a specific list of items rather than basing it off of manufacturer or supplier.

This will display a price cross out like above, but, in this case, the cross out will be shown for all suppliers on the selected item(s) listing.

Effective Price: This option enables you to highly customize which effective pricing (after rebates) is shown to your purchasers, rather than pricing shown by the vendor. This option allows you to include/exclude any combination of suppliers, manufacturers, and item IDs. Think of it as a more customizable combination of the other three pricing alert types!

Item Message: You can display a message on any set of items or manufacturers in the Vetcove catalog! For example, this guidance is useful if there are alternative products you would prefer a clinic to buy, or alternative manufacturers you would prefer a clinic to buy from.

The above are examples of how you can communicate using different types of item messages.

Once you've saved a given Guidance Rule, you can view, edit, or delete them in the list of rules as seen below:


Corporate Alert Settings

You also have the option of creating alerts for yourself! These alerts will ping you automatically when one of your practices falls into the selected alert behavior, or when one of a number of different values falls outside of a range that you've set.

To enable an alert, you may click on Alerts in the top right corner. Then, click on the drop down menu under Select an Alert Type and choose the alert you wish to enable.

Here are the different types of alerts you can enable:

  • Shipping Fees: alerts you when a hospital has accrued shipping fees over a given dollar amount limit

  • Utilization: alerts you when a practice doesn't appear to be utilizing their Vetcove account

  • Order Size: alerts you when a practice places an order over a given dollar amount

  • Order Timing: alerts you when a practice places over a certain percent of orders within a given time frame

  • Number of Orders: alerts you when practice is ordering too frequently

  • Pricing Tier: alerts you when a practice receives a price that is different than that of the group

  • More Expensive Vendor: alerts you when a practice chooses a more expensive vendor too frequently

  • Preferred Supplier: alerts you when a practice's ordering habits are not meeting partner compliance goals

  • DEA Items: alerts you when a practice purchases a large number of DEA controlled items

  • DEA Dollars: alerts you when a practice spends over a certain amount on DEA controlled items

  • Product Lines: alerts you when a practice purchases specified product lines

  • Budget Exceeded: alerts you when a practice exceeds a budget that was set for them

  • Bill Mismatch: alerts you when incorrect billing occurs

  • New Vendor: alerts you when a new vendor is added after a given date

  • Pending Clinic: alerts you when a new practice is added to your corporate and is pending

  • Invoice Unreceived: if your practices are using invoices to receive orders, this alerts you when an invoice is left marked as "not received" for more than a specified number of days

  • No GL Code: if your practices use GL codes, this will alert you if an item with no GL code is purchased by a practice

  • Unlinked Item: if your practices are integrated with a PIM on Vetcove, this alerts you when an unlinked item is purchased by a practice

Once selected, a variety of choices will appear on the right side for you to customize! You may then scroll down to view a full list of all Alert Rules that you have set up. On the right hand side you can view, edit, or delete alerts you've enabled.


Corporate Announcements Settings

Finally, you may create Announcements for your practices, as well! These announcements are a fast easy way to notify all or some of your practices of news or information of any kind!

To put out an announcement, you may click on Announcements on the top right corner. Then, on the right side you can choose which regions you'd like to make the announcement visible for, set a title, message, expiration date, and set it active!

Once active, announcements will appear on the practice's Vetcove account homepage.

If you scroll down on the Corporates Anouncement page, you may view a list of all currently active Announcements to view, edit, or delete.
