Vetcove now integrates with select PIMS to help practices track and order inventory with ease, all in one location. By connecting your Digitail account to Vetcove, you will be able to:
Manage Lists β shop your PIMS lists directly on Vetcove
View Quantities β view your quantity on hand and reorder points
Sync Purchase Orders β purchase orders will automatically be synced
Step 1: Connecting with Digitail
To integrate your Digital account with Vetcove, visit your Digitail account and click on Administration - Integrations. Then, click on the Connect button under the Vetcove logo!
You will then be redirected to the Vetcove platform, where you need to enter your username and password. Once you confirm, you'll be redirected back to Digitail and see a success message.
Congratulations! Your Digitail account should now be connected to Vetcove!
You can now visit Vetcove to manage and utilize the integration. Just click on Shopping from the top header bar > Inventory > PIMS Integrations.
Step 2: Connect Digitail Items to Vetcove Items
Once you are successfully connected with Digitail on Vetcove, you will see the following message when visiting your PIMS Integration page:
Please click on Manage Connection to continue to initial setup process. You will now see two additional options at the top of your Vetcove PIMS Integration page: Lists and Products.
To ensure that your PIMS lists and product quantities are pulled into Vetcove, and to be able to shop items from your Digitail lists, you will need to link your Digitail products to Vetcove products. This will only need to be done one time around and can be updated at any point!
Simply click on the Products tab at the top of your page, and click into each item that does not show a green check mark on the left side. You may also select the filter for unlinked items from the menu on the left side of this page to view all items that still need to be linked:
When you click on a given item, you will be prompted to search and then select the Vetcove item(s) in the left column that you wish to link to the Digitail item listed at the top of the window. Keep in mind that a Vetcove item can only be linked to a single Digitail item, but you may link up multiple Digitail items to a single Vetcove listing.
Unit of Measure
When linking items, you will often also have the ability to select a unit of measurement. Selecting a unit of measurement will help ensure the quantities for each item in a given purchase order are translated properly from Vetcove to your PIMS for receiving.
In the example below, you will see that you have the option to select whether you would like the item, Convenia Injectable: 10ml, to be received in your PIMS as 1 vial or as 10mL. If you receive and track the item in your PIMS per vial, you would select vial β if you receive and track the item in your PIMS per mL, you would select mL:
You may edit and update item unit of measurements at any time. Please note that if you do not select a unit of measurement, the default unit for that item listing on Vetcove will be selected. If you do not see your preferred unit of measurement listed as an option, please reach out to the Vetcove support team via the live chat in the lower right corner and we would be happy to assist!
Hiding Items
You may also hide any unlinked items within your PIMS integration that you would not like to appear in your lists.
To hide an unlinked Item, click on the Actions button, located to the right of each item, and select "Hide this Item." This will hide the item from view and move it to a Hidden Items folder, located on the lefthand side of the page. This will prevent the item from showing up in your Critical Shortage Lists, as well.
Step 3: Send a shopping list into Vetcove
You can send your shopping lists in Digitail directly into Vetcove! In your Digital account, click on Inventory > Products > Shopping List, then click on "Send order to Vetcove." This list will now be visible in your Vetcove account, under PIMS then Lists.
Some products might not be linked yet with Vetcove items, so you will want to be sure to link them all by clicking on Link items.
Step 4: Shop and Place Orders as Normal
You may now build your carts & place your orders directly from your Lists page. You may click on the item listing, which will then drop down in the familiar Vetcove shopping format! Simply select your preferred supplier and quantity and add the items to your cart.
When you're ready, you may click on the Shopping Cart icon in the top right corner to visit your cart and begin the checkout process. Follow the checkout steps until you see the confirmation screen!
When you place an order on Vetcove it will automatically be sent as a PO to Digitail! Your PO details will be visible in Digitail directly here immediately after placing your order. You may update it at any time if you spot any differences! Make sure you double-check and verify the item's price, batch number, and expiration date.
If the products ordered from Vetcove haven't been linked to Digitail products yet, a new product will be created! However, it might have some information missing. You can add the remaining details by editing the PO in Digitail!
Inventory Syncing
Keep in mind that your Digitail inventory will automatically be synced to Vetcove every 10 mins; however, you may always trigger a manual sync from within your Digitail account.
To trigger a manual sync - simply head to Products within Digitail, select the product you would like to sync, and then click "Sync products with Vetcove".
