How to use Vetcove Analytics

How to optimize your purchasing through the use of analytics and reporting.

Vetcove's purchase analytics feature helps you understand and optimize your purchasing. Order history will automatically be pulled in (up to two years back) for any vendor you've connected to Vetcove. You'll see data and trends about your suppliers, manufacturers, categories, and individual items. Using interactive and visual charts, Vetcove will show you everything you could hope to know about your purchases in a given time period!

This guide helps you understand your spending, how to use the analytics tools, and how to make the most of the data you now have access to. To access our Analytics, click on Orders at the top of your page, then Purchase Analytics. 


Data is broken down into four main tabs:

  • Suppliers

  • Categories

  • Manufacturers

  • Items


Orders

If you click on "Orders" from your main navigation bar, then select "Orders," under "Orders and Invoices," we take you to a page where you can review and print your past orders, compare all of your spending habits, and analyze your purchases. 

We display all order history from all connected vendor accounts. That's including orders made directly from your vendor's website or even with a representative over the phone! No matter how you placed your order with a connected vendor, it will show up here in your order history.

Additionally, we pull in 2 years of order history when you sign up with us so that you can start comparing your spending habits and viewing past orders right away. 


Items

If you click "Orders" from the main navigation bar, select "Orders", and then head to the top right corner, you will see an option to toggle on "Items". Toggling on "Items" will display your unified order history, but now in the form of individualized items ordered.

Here you can view all your items ordered in the past two years from all of your connected vendors. There are a number of ways to filter this page by clicking the "Filter" button in the top right corner.

You are able to filter the results by a specific vendors, data ranges, supplier accounts, and you can even search for specific items ordered! Once you click on an item, it will redirect you to the order that the item was associated with.

Need the data exported into a file? Just click the "Export" button in the top right corner! This report will include: Item Details, Order Details, Item Manufacturer Details, Unit Price, List Price, Total Price, and Supplier SKUs (as well as many more columns!)


Suppliers

At the top of your page next to "Orders" you can choose "Suppliers." This is where you can view your purchase history based on the supplier of the product. In the middle of the page you'll see a graph, which visually displays purchases from all of your vendors over the time period you select, which is displayed in the upper right corner of the graph. Each line on the line graph represents monthly purchases from a given vendor. You can hide (or show) a vendor by clicking on the vendor's name on the left side of the graph. This graph helps you understand how your purchasing habits have changed over time, as well as being able to compare one supplier against another.

Below the line chart, you can view a list of your suppliers arranged as default by "purchase volume" from greatest to least. If you click on the title of a column, it allows you to preferentially sort by that column!

Your "Percent of Total" column shows how much of your total spend is spent on a given supplier. This can be an extremely helpful tool if you intend for the majority of your business to go to a particular supplier!

You can also utilize the Export feature on the top right of the table. By clicking this, we auto-generate a CSV file which can be opened in Microsoft Excel containing all of your manufacture spend history for your selected dates.


Categories

We also give you the option to view your order history by "Category."

Each and every item listed on Vetcove is placed into a category (as well as subcategory) so that you can search and compare based on which type of category the item falls into! From here, you can also compare your spending habits across various categories of products and see what percentage of total spend has gone towards which category. If you're curious to know how much your hospital has spent on parasiticides or pharmaceutical products over a given period of time, this is where you'll want to look! Again, you can also sort each column by clicking on the title, export your data, or click on the Category itself for greater detail including a graph, list of items within the category, and additional subcategories!


Manufacturers

Choosing the Manufacturers tab at the top displays a similar table as shown under "Suppliers" of all manufacturers whose products you've purchased over the selected time period. The list is arranged as default by "purchase volume" from greatest to least. 

Your "Percent of Total" column shows how much of your total spend is spent on a given manufacturer This can be an extremely helpful tool if you intend for the majority of your business to go to a particular manufacturer!

Clicking on the name of a manufacturer will show details about your purchasing habits for that specific manufacturer's products. The top of the page will display a line graph of your purchasing habits over time from the manufacturer.  Below the graph, you'll find your Total Purchase Volume, Total Orders, and Daily Purchase Volume.
Then, below that, you'll find that you can review your purchases for this manufacturer by Items, Categories, or Suppliers. 


Items

Finally, at the most granular level, Vetcove gives you analytic data regarding your purchases on an item-by-item basis. Much like the manufacturer data, items appear in an ordered list based on total dollars spent.  Also included in this data is the most recent purchase date (if you export your data, this column will be present), total number of units, total quantity purchased, and total volume spent for the selected date range.

Safety Data Sheets

If you're looking to download a packet of all SDS files for the items you've purchased, we offer a tool for that, too! On your Item Analytics page, you may click on Export SDS Files on the top right. This will trigger an email to be sent to you containing a packet with a .pdf file for each SDS for all items in your view.

Controlled Substances

If you're looking for a report based on DEA Controlled item status, we offer a filter at the top between Search and Date.

Clicking this filter will allow you to filter your items by DEA Controlled Drug Schedule status. You may view all items, items that are not controlled, Class 1, Class 2, Class 3, Class 4, or Class 5.

You may then utilize the item search function or the date range filter to break your results down even further if needed! Additionally, you may use the Export Tool to access a CSV file if you need to import the data into another program or run reports of your own in Excel.

Similar to the Manufacturers, clicking on an item will display several graphs related to your purchases of this item, including:

  • Total purchase volume over time

  • Total orders

  • Daily purchase average
